Christmas Planning Checklist: What to Do From October to December
A good Christmas planning checklist works backwards from December 25. Set your budget, gift list and travel in October, book outings and plan dinner by mid-November, use Black Friday for gifts already on the list, then mail, ship and wrap in December. Give every task a due date counted back from Christmas, so nothing piles up in the last week.
TL;DR
- Count back from Christmas Day. Each task gets a "days before Christmas" number, so its date moves with the year.
- October is for money: the budget, the savings plan, the gift list, the card list and travel.
- November is for booking: outings, dinner plans and photo cards, with Black Friday and Cyber Monday used to buy gifts that are already on the list.
- December is for shipping, wrapping and food, with the shipping cut-offs checked against your own carrier's dates.
- Track what's done, overdue and due in the next 7 days.
Why should a Christmas checklist count back from December 25?
Because Christmas never moves, but the days of the week do, so "65 days before Christmas" stays right every year. In 2026, Christmas Day is a Friday, so 65 days before is Wednesday, October 21. In 2027, Christmas is a Saturday, and the same task lands on Thursday, October 21, 2027.
A few dates don't count back from Christmas. US Thanksgiving is the fourth Thursday of November, Black Friday is the day after, and Cyber Monday is the Monday after that. In 2026 those are November 26, 27 and 30. In 2027 they are November 25, 26 and 29.
What should I do in October?
October is for the decisions that cost money later. Do these first, because everything else depends on them:
- Set your holiday budget and split it by category (80 days before, October 6 in 2026). See how to split your Christmas budget by category.
- Start (or top up) the holiday savings plan (80 days before). See how much to save each month for Christmas.
- Write the gift list: who, and how much each (75 days before, October 11). See how to make a Christmas gift list with a budget for each person.
- Update the Christmas card list and decide where you'll spend the holidays (70 days before, October 16).
- Book holiday travel (65 days before, October 21).
Starting late? Do all five this week; the November list assumes they're done.
What should I do in November?
November is for booking and planning, plus the big shopping days:
| Due (2026) | Days before | Task |
|---|---|---|
| Nov 5 | 50 | Book holiday events and outings |
| Nov 5 | 50 | Ask the kids for their wish lists |
| Nov 10 | 45 | Plan the holiday dinner: menu and guests |
| Nov 13 | 42 | Order photo cards |
| Nov 25 | 30 | Buy stamps and envelopes |
| Nov 26 | Fixed | Thanksgiving / Friendsgiving dinner |
| Nov 27 | Fixed | Black Friday: buy gifts on the list (stick to the budget) |
| Nov 30 | Fixed | Cyber Monday: order the online gifts |
Black Friday works best when every name on the gift list already has a budget: a sale only saves money on something you were going to buy anyway.
What should I do in December?
December is for cards, shipping, wrapping and food, in that order:
| Due (2026) | Days before | Task |
|---|---|---|
| Dec 1 | 24 | Put up decorations and the tree |
| Dec 5 | 20 | Mail international cards and parcels |
| Dec 11 | 14 | Confirm who brings what for dinner |
| Dec 13 | 12 | Mail domestic cards |
| Dec 13 | 12 | Ship domestic gifts by ground |
| Dec 15 | 10 | Make the holiday donation |
| Dec 18 | 7 | Finish gift shopping |
| Dec 19 | 6 | Last day for express shipping |
| Dec 21 | 4 | Wrap the gifts |
| Dec 22 | 3 | Buy the dinner groceries |
| Dec 22 | 3 | Defrost the turkey (if you're having one) |
| Dec 24 | 1 | Christmas Eve plans |
| Dec 25 | 0 | Christmas Day: enjoy it! |
The three shipping dates are placeholders, not official deadlines. Carriers publish their own holiday cut-offs each year, by country and service, so check yours and move the dates.
What about after Christmas?
Write thank-you notes (December 29), return or exchange gifts (January 1), review spending vs budget for next year (January 4) and take down decorations (January 6). The review matters most: what you actually spent is the best starting number for next year's budget.
What does this look like in practice? A worked example
Here is an example household using the full 31-task checklist above. It's Tuesday, October 27, 2026, which is 59 days before Christmas.
- They have ticked the first five October tasks.
- They haven't booked travel, which was due October 21, so it shows as overdue.
- Nothing is due in the next 7 days; the next tasks are on November 5.
Their progress line reads: 5 of 31 tasks done · 1 overdue · 0 due this week (16% done).
Their next to-dos start with Book holiday travel (overdue), then Book holiday events and outings and Ask the kids for their wish lists (both Nov 5).
They book their travel that evening and tick it off. The line changes to 6 of 31 tasks done · 0 overdue · 0 due this week, and "Book holiday events and outings" moves to the top of the list.
Then they add two tasks: "Bake and freeze cookies", 5 days before Christmas, lands on Sunday, December 20, and "Office holiday party" gets a fixed date of December 11. The list grows to 33 tasks.

How do I do this in the Christmas Budget & Gift Planner?
The AISheetLogic Christmas Budget & Gift Planner has this checklist built in, with the dates already worked out. It opens with sample ticks, so clear the Done? column first.
- Setup tab: type the Holiday year. Christmas Day and the Key dates (automatic) box (Thanksgiving, Black Friday, Cyber Monday, Christmas Eve, Christmas Day, Boxing Day and New Year's Eve) follow it, and Days to Christmas counts down.
- Checklist tab: the 31 tasks above, each with Task, Area, Days before, Fixed date, Due date, Done?, Status, Who and Notes. Change Days before to move a task (0 is Christmas Day, negative numbers are after it). A date in Fixed date overrides Days before, which is how Black Friday and Cyber Monday work. Add your own tasks in the empty rows below.
- Choose ✓ in Done? as you go. Status shows "Done ✓", "Overdue", "Due this week" (due in the next 7 days) or "Upcoming", and the line at the top counts tasks done, overdue and due this week, with a progress bar.
- Calendar tab: a month grid from October to January with every task, the key dates (marked ★) and your Christmas dinner (marked ◆). It opens on the current month; type 1 to 4 in Month # to switch between October, November, December and January. The This month, by date list below the grid shows each item's status.
- Dashboard tab: Days to Christmas with your checklist progress underneath, and a Next to-dos table with Due, Task, Who and Status for the next six open tasks.
Next autumn, change the Holiday year to 2027 and untick Done?; every date moves to 2027.
Frequently asked questions
When should I start planning for Christmas?
Early October gives you the most room. The checklist's first tasks, setting the budget and starting the savings plan, are due 80 days before Christmas, which is October 6 in 2026. Starting then leaves about eleven weeks to save and spread out the spending. Starting later still works: do the October tasks together in one sitting, then follow the November and December lists.
When is the last day to ship Christmas gifts?
It depends on your carrier, your country and the shipping speed, and carriers publish new dates each year. This checklist uses placeholders: international cards and parcels 20 days before Christmas, domestic ground 12 days before and express 6 days before. Look up your carrier's holiday shipping page in November and move the dates to match.
What should I do if I've fallen behind on my Christmas checklist?
Do the overdue tasks first, oldest first, and leave the rest of the list alone. Most early tasks are short decisions, such as setting a budget or booking travel, so catching up usually takes an evening. If something can't happen in time, such as photo cards, delete it or change its date rather than letting it sit at the top marked overdue.
Can I add my own tasks to the checklist?
Yes. Write the task, then either give it a number of days before Christmas or a fixed date, such as a school concert or an office party. Counting back from Christmas suits jobs that happen every year, while a fixed date suits one-off events. In the example, a cookie-baking day 5 days before Christmas lands on Sunday, December 20, 2026.
